EduTrack-PH Privacy Policy

Welcome to EduTrack-PH. We respect your privacy and are committed to protecting the personal information of our students and their parents or legal guardians. This Privacy Policy outlines how we collect, use, store, and protect your information when you use our attendance tracking system and interact with our official Facebook Page Messenger bot.

By using or linking your Facebook account to EduTrack-PH, you signify that you have read, understood, and agreed to the collection and use of your information in accordance with this policy, in compliance with the Data Privacy Act of 2012 (RA 10173) of the Philippines.

2. Information We Collect

To provide real-time attendance monitoring and notification services, we collect and process the following categories of data:

• Student Information: Full name, Learner Reference Number (LRN), grade level, and section provided by school administrators.
• Parent/Guardian Information: Facebook Page-Scoped ID (PSID) automatically generated when you message our official Facebook Page, which is used strictly for routing notifications.
• Attendance Logs: Timestamp data (Time In and Time Out dates and times) recorded whenever a student scans their QR code or ID at the campus gate.

3. How We Use Your Information

The data collected by EduTrack-PH is used exclusively for the following legitimate educational and security purposes:

• Real-Time Notifications: To automatically send instant attendance updates (Time In / Time Out alerts) via Facebook Messenger to the linked parent or guardian.
• System Integrity & Security: To verify parent-student links securely using the official LRN verification command (LINK [LRN]).
• Administrative Reports: To generate internal attendance summaries for school authorities to ensure campus safety.

We do not sell, trade, or rent personal information to third parties, nor do we use your data for marketing or advertising purposes.

4. Data Sharing and Third-Party Services

EduTrack-PH integrates with secure third-party platforms to deliver its core services:

• Meta Platforms, Inc. (Facebook Messenger API): Used solely to transmit text-based notification messages to authorized parents. Message payloads are securely processed through Meta's encrypted Graph API infrastructure.
• Hosting Provider: Our database and web application files are stored on secure cloud hosting servers protected by industry-standard encryption and firewall security.

5. Data Security Measures

We implement strict technical, organizational, and physical security measures to safeguard your personal data against unauthorized access, alteration, disclosure, or destruction:

• Database Security: Access to student records and parent PSIDs is restricted using secure database credentials and SQL injection prevention techniques.
• HTTPS Encryption: All communications between our web server and users/Meta APIs are encrypted via secure protocols.
• Access Control: Only authorized school personnel and system administrators have backend access to system logs and records.

6. Data Retention Policy

We retain personal data and attendance logs only for as long as necessary to fulfill the educational and administrative purposes for which it was collected, or as required by school policies and applicable laws in the Philippines. Once a student graduates or transfers, their linked data can be securely archived or deleted upon formal request.

7. Your Rights as Data Subjects

Under the Data Privacy Act of 2012, you hold specific rights regarding your personal information:

• Right to be Informed: You have the right to know how your data is collected and processed as outlined in this policy.
• Right to Access: You may request a copy of the personal data we hold concerning you or your child.
• Right to Correction: If you notice any inaccuracies in student records, you may request corrections through the school administration.
• Right to Object / Withdraw Consent: You may unlink your Facebook Messenger account at any time by stopping the service, which will terminate automated notifications.

8. User Data Deletion Instructions (Meta Compliance)

In accordance with Meta Platform Rules and the Data Privacy Act, users can easily request or execute the deletion of their personal data collected via the Facebook Messenger bot:

• Instant Self-Service Unlinking: Send the command UNLINK or DISCONNECT directly inside your Facebook Messenger chat with the TVNHS page to instantly erase your Facebook PSID from our student database.
• Via Facebook Settings: Remove the EduTrack-PH application under Facebook Settings > Apps and Websites.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect system upgrades, feature additions, or compliance with new legal regulations. Any changes will be posted directly on this page with a revised effective date.
